Dear MFEA Acts & Entertainment Member:

We are gearing up for the 18th Annual MFEA Convention scheduled for November 4 - 7, 2010 at the Radisson Plaza Hotel - Kalamazoo, Michigan.

In 2010 there will be 4 different venues of entertainment:

Thursday Welcome Reception
“Friday Night Showcase”
“Saturday Showcase Extravaganza”
“Family FunTime Matinee”

Thursday Welcome Reception Venue - MFEA is seeking a self-contained entertainer for background music as well as performing to the attendees as they arrive.

Friday and Saturday evenings Entertainment Venues will be celebrating 18 years of successful entertainment. These venues provide a networking and booking opportunity for the performers and the festival and event planners. The decision makers will be on hand, so bring your 2010-2011 calendars as many bookings take place on-site at this Convention.

The “Family FunTime Matinee”...special for kids of all ages, is scheduled Saturday afternoon. This is a special invitation for the Family Entertainers to display their talents. Festivals and Events throughout the state are continually seeking family entertainers...this will be the perfect time to show them what you’ve got!

The Michigan Festivals and Events Association members have the exclusive opportunity to present their talents during the convention entertainment venues...we would like to include your act in the screening process. If you are an agent representing a number of acts, you can enter a maximum of eight (8) acts for consideration. Although all entries will receive equal consideration, MFEA retains the right to limit the number of acts chosen from any single agent.

The rules and regulations governing the selection process and venue presentations are enclosed, along with our timeline and an application form. Please send your promotional materials by June 7, 2010 to:

All acts will be notified of the Entertainment Committee’s decision by July 6, 2010.

RULES & REGULATIONS
Radisson Plaza Hotel – Kalamazoo
November 4 - 7, 2010

  1. Thursday Welcome Reception, Friday Night Showcase, Saturday Showcase Extravaganza, and Family FunTime Entertainers chosen will receive a $75 coupon* to be used within one year towards MFEA membership, advertising or convention. An agent having more than one entertainer chosen will receive one $75 coupon for his/her membership.
    *$75 coupon will be awarded to the entertainer/agent after the convention/performance wrap-up.

  2. Acts must choose one of three Performance Options, as shown below. Your choice of performance option will be invoiced; payment due by September 1, 2010.

  • Option I (includes one act) - $495.00...add an additional act for $100 each
    Includes one performance fee, one Premium Trade Show Booth (located outside the Marketplace Trade Show with full exposure from set up Thursday afternoon thru teardown Saturday late evening/Sunday morning), one full Convention registration, and two complimentary “booth workers” registrations. This option is recommended for acts wanting maximum exposure throughout the convention weekend.

  • Option II (includes one act) - $395.00...add an additional act for $100 each
    Includes one performance fee, one Trade Show Booth (located inside the Marketplace Trade Show area with setup Thursday afternoon, tear down Saturday late evening/Sunday morning), one full Convention registration, and two complimentary “booth workers” registrations. This option is recommended for acts wanting exposure throughout the Convention weekend.

  • Option III - $235.00
    Includes one performance fee and one full Convention registration. This option is recommended for acts wanting to perform without a Trade Show booth.

    1. There will be no monetary compensation or other benefits paid to any agencies or acts performing during Convention 2010. Agencies and acts will be fully responsible for their own expenses.

    2. The MFEA Entertainment Committee will assign specific performance periods for each accepted act. Performances will be limited to the act’s assigned period. Set-up and sound check times will also be assigned for Showcasing Acts. Failure to appear will result in disqualification for two consecutive years. Sound checks for the “Family FunTime Matinee” venue will take place one hour prior to the show.

    3. Acts must perform as presented during pre-convention screening. Substantial changes to any act after screening is completed may result in disqualification at the discretion of the MFEA Entertainment Committee.

    4. Each act will be allowed a maximum of one performance period per convention. Appearance in consecutive years in the same entertainment venue is at the discretion of the MFEA Entertainment Committee.

    5. MFEA will provide sound equipment, lighting, power, and emcee services for Friday and Saturday evening performances. MFEA will also provide back-line equipment consisting of one drum kit, one bass amp and two guitar amps per stage. Acts must provide all other instruments and props.

    6. Members of each act will receive access to the entertainment venues on the day of their performance. Access to other Convention events is limited to registered Convention attendees. Additional Convention registrations may be purchased at $135.00-full registration, one-day pass at $100.00 per person if registered by October 25, 2010. A guest pass may be purchased for your performance venue at $25 per person. This includes all complimentary refreshments served during that venue.

    7. A maximum of eight separate entries from an agent will be accepted for consideration. MFEA retains the right to limit the number of acts chosen from an agent’s entries. In the event that two or more acts are chosen from one agent’s entries, Option I or Option II is required. Each additional act is $100.00.

    8. In fairness to all Trade Show participants, booth presentations are to be done within our sound regulations. This means having a volume control, which will not disturb the neighboring booths. Videos played at a level that can be heard only in your booth or with the use of head phones. Entertainment can take place within your booth space, but not in the aisle ways or hallway. Failure to comply will be cause for removal.

    9. Costumes are allowed in booths, as long as it is not disturbing to surrounding booths.

    10. Reproduction of performances or presentations is granted to Michigan Festivals & Events Association and Michigan Festivals and Events Foundation.

    11. All decisions of the MFEA Entertainment Committee shall be final.
